Too often, organizations mistake electronic file sync and share as synonymous with endpoint backup, leaving critical data unprotected. In an ideal data management strategy, endpoint backup works alongside file sync and share to silently protect every version of every file. Together, the two technologies mitigate the growing risk of data loss to data breach, ransomware, or insider threat.

In this Technology Adoption Profile we explore the current state of replication in SMB IT departments and in particular the use of SAN-based replication. We find strong demand for both synchronous and asynchronous SAN-based replication, as well as the need to replicate data within the SMB’s own data center facilities, either to a colocated secondary array or to one within 5 km [approximately 3 miles](a campus or metro-style deployment). We also find that in order for SMBs to protect more data using replication, they need replication solutions that are non-disruptive, easy to use, and inexpensive.

Demand is surging for collaboration technologies appropriate for the enterprise. More organizations are adopting file sync and share (FSS) solutions to accommodate changes in workforce behaviors arising from collaboration and mobility trends such as bring-your-own-device (BYOD). While the benefits of file sync and share tools are significant, the security risks associated with them can leave organizations wondering how best to invest. This Code42-commissioned profile of IT decision-makers and information workers evaluates trends, challenges, and benefits surrounding file sync and share, based on a custom study and Forrester’s own market data.

Today’s employees use multiple devices to get their work done. In fact, a recent Forrester Research report found that 66 percent of employees now use two or more devices every day. They switch devices throughout the day; to keep working without disruption, they need all their data on whichever device they’re using at the moment. These mixed environments create new challenges for IT teams—IT admins are now tasked with providing users access to synced and shared files on any platform, any device and any network.

File sharing is as necessary to business as payroll. Without the ability to distribute content in the corporate ecosystem, business would grind to a halt. Through the years, file-sharing solutions have come in all shapes and sizes. They’ve arrived in the enterprise legitimately— through sanctioned IT purchases—and by workers who smuggle in what they need to get their work done. When employees introduce their own devices, apps and clouds, they don’t knowingly circumvent the rules, they just desire easy, convenient technology. This brief outlines the dangers of personal cloud sharing and the benefits of enterprise-ready file sync and share. It also answers the big question “How do you convince employees to divorce the consumer-cloud and “marry up?” The answer is SharePlan—the enterprise sync and share solution that workers adore and enterprises trust.

There’s no doubt consumer-grade sync and share solutions are convenient, but it’s the risk they introduce to the enterprise that keeps IT leaders up at night. But what really constitutes an enterprise-grade sync and share solution? To get a second glance from enterprise IT, sync and share solutions must, at a minimum, include the basic business feature sets: security, integrations, roles and permissions, audit trails, remote wipe, comprehensive APIs, real-time administration, bandwidth controls and de-duplication.

The proliferation of file sync and share (FSS) products and other cloud services designed for consumers, along with mobile devices, leads to improper sharing of corporate data. Information that leaves your firewalls can live forever, and without adequate protection, can end up in the wrong hands. So what’s the solution? Protect your information with next-generation information rights management (IRM) technology. You can email, copy, upload or share any IRM-secured document — and the protection travels with it. Key topics include: The threat posed by Dropbox and other consumer-grade FSS providers The need for lifetime control of information and content The ability to perform audits, and locate files, anywhere, and who accessed them How next generation IRM technology is available to add a new layer of security to every file Information technology professionals interested in using IRM for secure collaboration don’t want to miss this important report.

Losing data is costly. According to the Ponemon Institute, the average data breach costs US organizations an estimated $200 per record, or $5.4 million total per breach. And apparently these breaches are equally likely to be from criminal attack as from employee or contractor negligence. It makes sense then that surveys point to data loss via unsecured file sync and share solutions as one of IT’s biggest concerns. IT professionals have spent years learning how to protect their organizations from hackers, but how do you ward off both external and internal threats when employees are seeking ways to collaborate more and more?

Not so long ago, the office was the only place you could work. But when smartphones and tablets came along, the only thing holding us back from getting work done anywhere, any time was having access to our data. That led to the creation of a whole new class of solutions designed to keep files current across our rapidly proliferating fleets of devices — through a technology known as ‘sync.’ All of a sudden, getting a file from your work laptop to your iPad became as simple as clicking “Save.” So it’s no surprise that 55% of information workers in North America and Europe who use a tablet at work are using file sync and share tools.
